Moving company mobilizes inventory inspection

Convoi is a leading specialist in vertical and horizontal transport and records management. Before a new moving project can be calculated and a proposal can be brought out, the Convoi account managers always have to make a specific inventory of the items that need to be moved at a client location. This work process requires very accurate registration of various “moving” related data on the spot which traditionally has always been a paper process by using inventory lists. The gathered data on the inventory lists has to be processed even further in various back office systems at the corporate office before a proposal can be made. Therefore the company sought to streamline and improve the mentioned paper-based processes, and the transfer of data between the account managers and the corporate office.

Solution
The company equipped its account managers with HP6915 personal digital assistants (PDA’s) to provide a mobile inventory application and a wireless connection (GPRS) for data synchronization. The mobile application enables the account managers electronic information gathering, storage and reporting. Furthermore they are able to synchronize gathered data with the corporate office immediately after an inventory took place. Navara has build this tailor made mobile application which results in less administrative handling during and after a inventory and therefore results in a more efficient deploying of labor which obviously also leads to cost reduction. The mobile solution developed by Navara not only contains custom PDA and back-end software, it is truly integrated with the company's back-office systems, such as the calculating applications.

Results
Since deploying a mobile inventory solution, the time for calculating a project has been reduced from 2-3 weeks to nearly real time. Meanwhile, proposal cycles are faster and more accurate and a cost reduction in office hours is already a fact. The digital and mobile inventory application also gives the company an innovative advantage over their competitors which already has lead to a win on this account.
